The delegate management team, support the event managers and are usually the first port of call for event attendees. The delegate manager will need to know the ins and outs of the events that are being run so that they can answer any questions from the attendees, by phone, email, or social channels. It’s a busy role that includes creating itineraries and joining instructions, data input and reporting, producing badges and delegate packs as well as attending on site and supporting with registration.

The delegate management team will usually be headed up by a Delegate Management Manager.

Typical duties of the OCM will include: -
  • Setting up event registration databases, importing and validating attendee data and running reports for the event managers
  • Creating copy for invitations, itineraries, joining instructions and other event communications in conjunction with the event manager
  • Creating event Apps that contain full event information for the attendees
  • Mailing all attendees and following up by email and phone any non-responders
  • Producing badges and delegate packs
  • Creating delegate satisfaction questionnaires, analysing the data, and producing event satisfaction reports
  • Onsite registration (for live events)
Skills, Experience and Personality Needed
  • Excellent customer service skills are needed for this role 
  • Attention to detail is imperative along with the ability to write good, clear copy for the delegate communication
  • Good IT skills are essential as you’ll most likely be manipulating databases as well as working across Microsoft Word, Excel, Publisher, and Access and setting up Apps and scanning devices
  • A driving licence is helpful as there is likely to be travel involved when supporting at events

  • This is usually a full-time role and is mostly a 9-5.30 job when in the office
